E-sign gives your tenants the ability to electronically sign documents that require a signature. There are also features in storEDGE that help you monitor your e-sign documents. You can learn more about activating e-sign in our Implementing E-sign article.
E-sign at move-in and transfer
If you have activated e-sign, as you work through the move-in or transfer process, the documentation stage of the process will alert you that a document requires an e-signature.
Clicking Customer E-sign will bring up the Review & Sign Documents screen, where you will have four options:
- Sign now using your computer
- Sign now using a separate device
- Request a signature via email or SMS
- Sign later
If the tenant is present, you have two options for the tenant to sign the rental agreement. You can have your tenant sign using your computer, or send the document to another onsite device to be signed.
Sign now using your computer
To have the tenant sign using your computer, click Sign Now to complete the e-sign process.
The tenant’s rental agreement will appear on the screen in a new tab. Click Get Started, and then select Click to sign.
Here, you will have several options: The tenant can use the mouse to create a signature using Draw it in or choose to Type it in with a variety of font choices.
After you’ve created or selected a signature, you have the option to either import the signature into the space selected by selecting Insert, or import the signature into every space where a signature is required in the rental agreement by selecting Insert Everywhere. If you prefer not to repeat this process for every field where a signature is required, select Insert Everywhere.
The last step of the process is to click the button that says I Agree at the top of the rental agreement. With the signature in place, the rental agreement becomes legally binding.
You will now see a confirmation screen that the e-sign process was successfully completed.
Sign now using a separate device
storEDGE E-sign Using Separate Device Patent Pending
To use a separate device for e-sign, you must first have a device paired with your facility account, which you can do in your software settings. You can read about how to pair a device in our Implementing E-sign article.
To use your paired device during the the move-in process, simply select Sign on Device on the Review & Sign Documents screen during the e-sign portion of move-in. Make sure that your device’s browser is pointed to https://www.storedgefms.com/devices. We recommend that you use Google Chrome as your browser.
Note: If you have two or more devices paired with your facility, this button becomes a dropdown list in which you can select the device you want to use. For a list of recommended devices to use with e-sign, contact your storEDGE sales representative.
The rental agreement or document that needs to be signed will appear in your device’s browser.
Next, you will follow the prompts on your device just as you would if you were using your computer to e-sign. Click Get Started to begin the process. On the next screen, select Signature to have your tenant create a signature.
Once the you have selected Signature, you can hand the device to your tenant. The tenant can sign the device's screen with their finger, or choose from a variety of fonts to type it in. Once a signature has been created, you can take the device back from the tenant and select Insert.
The signature your tenant has created or chosen will appear in the signature field. To continue the rest of the e-sign process, select Continue.
You've now reached the final step of the e-sign process. To complete the e-sign, the tenant will select I Agree to make the lease agreement legally binding.
After e-sign has been completed on your device, you can continue the move in process in storEDGE.
Request a signature via email or SMS
If the tenant is not present to sign the rental agreement, you can request a signature via email or SMS, which sends a link for the e-sign process to be completed remotely by the tenant. To request a signature via email or SMS, click Send to Tenant on the Review & Sign Documents screen.
From here, the process is simple. Under Delivery Method in the box labeled Request Signature, you can choose E-mail or SMS. If you choose E-mail, the tenant’s email address will populate from the tenant’s file. Choosing SMS will populate the tenant's phone number. Click Send Request to send the signature request to the tenant. This will send a hyperlink to the e-sign screen to the tenant via email or SMS. Here, they can sign using a their finger (if they are using a mobile device), a mouse, or choose a font and type their name, just as they would if they were completing the process with you in person. You will receive a confirmation that the request has been sent.
Note: If you want to use a different email address or phone number than what is entered in the tenant's file for the signature request, you can change it during this process. You will be given the option to update the tenant file with this new information.
Below is an example email and text message that your customer would receive.
If you do not have the ability to or would rather not send a signature request via email or SMS, you still have options for completing the move in process without the tenant's presence or having the lease signed right away. Choose Sign Later and the documents will be available in the Communication tab under E-sign.
If the need arises to cancel the e-sign request because a tenant decides not to move in, you can cancel the e-sign request by accessing the E-sign tab on the Communications tab. Your software will ask you to confirm that you are sure that you want to cancel the request.
If you have canceled an e-sign request, it will be reflected on the Communications tab, and this document will no longer appear on your Task List under E-sign Needed.
Keeping track of unsigned documents
The Communication tab will indicate the status of a signature request by displaying the date of the last request and how many attempts have been made to obtain a signature through an email or SMS request. Details regarding signature requests can also be seen on the Communication tab.
Note: In order for a tenant to receive any communication from your facility via SMS, including a signature request, you must be sure that the tenant’s file indicates next to the phone number field that they can receive SMS messages. You can enable SMS messaging for a tenant if your facility has this capability. If you want SMS capabilities at your facility, contact customer support and they will activate this feature for you.
The Task List will help you keep track of unsigned documents under the heading E-sign Needed. Here, you can view how many documents that require a signature remain unsigned at your facility. Documents will appear on this list the day after a signature was requested and not received, or the day after e-signing a document was deferred by selecting Sign Later in the documentation stage of moving a tenant in. Unsigned documents will remain on the task list until E-sign has been completed.
